General Summary / Overview Statement:

This exempt management position is responsible for overseeing all functions of the referral department including but not limited to the hiring, training and development of staff. The Referral Manager is a customer-service and leadership-focused position working directly with patients and their families, insurance representatives, doctors and other medical personnel in a dynamic and professional environment to provide the highest level of quality healthcare to all patients. The manager is responsible to assure the coordination of quality cost-effective care.

Principal Duties and Responsibilities:

Performs as the liaison between providers and patients

Develops short and long term work plans for goals of the department

Develops and evaluates appropriate protocols, work-flows and guidelines for effectiveness

Oversees daily office operations and delegates to assigned coordinators.

Develops guidelines for prioritizing work activities, evaluating effectiveness, and modifying activities as necessary to ensures that office is staffed appropriately.

Identifies trends and referral patterns - works with managements for resolution

Must be a hands on manager willing to step in when short staffed

Will conduct monthly staff and manager meetings

Will generate weekly/monthly/quaterly analysis reports

Analyze report data and provide weekly feedback/report to manager

Responsible for the recruitment, hiring, orientation, development, and evaluation of referral coordinators, including disciplinary actions.

Responsible for the development and training of staff

Serves as the liaison and collaborates with the site managers and specialty offices to forge better relationships, with the goal of improving our patient service

Assures optimal customer service and follows through on all patient referral needs to ensure quality patient care and services

Participates in professional development activities to keep current with health care trends and practices

Oversees and approves office supply inventory, ensures that mail is opened and processed, and offices are opened and closed according to procedures.

Must have great customer service skills

Must be a responsible and self motivated individual

Ability to lead and motivate staff

Willing to performs other related duties as designated

Qualifications:

Demonstrate knowledge of insurance referral process

Leadership qualities and able to manage changing priorities

Ability to exercise diplomacy to resolve related issues

High school diploma or equivalent.

Previous experience in management preferred

Associates or Bachelor's preferred.

Skills and Abilities:

Knowledge of medical practice management, terminology, budgeting, and referral policies.

Demonstrated skill in planning, organizing, delegating, and supervising.

Ability to evaluate the effectiveness of existing methods and procedures.

Demonstrated problem solving skills

Excellent in verbal and written communication skills

Working Conditions:

This is a sedentary position and may require extended periods of time at a work station using a keyboard and mouse.

Frequent talking, hearing, and occasionally walk, stand, stoop, kneel, crouch, lift, and ability to adjust vision for close visualization-oriented tasks.

Work is performed in an indoor environment and with both natural and artificial lighting.

Exposure to patients in various states of hygiene & emotional condition.

Potential risk of exposure to blood borne and airborne pathogens and bodily fluids.

Potential exposure to communicable virus, disease and infection.

Potential traumatic medical situations or patients experiencing pain or discomfort.
